Scheduling/Surveillance Recalls

This key module in the Medgate system allows for traditional scheduling of clinic activities as well as automating recalls for all medical and education surveillance requirements.  The extensive reporting capabilities of this module eliminate the administrative burden of recalling employees for health surveillance programs and training certification.  In addition to reports, Medgate offers an automatic notification system, with parameters defined by the client, to send e-mail reminders to employees regarding surveillance exams that are due.  The surveillance set up works with the automated download of human resource information and will add or remove employees from surveillance groups.  Through this mechanism you can be assured that employees are both medically fit and trained for their occupations in accordance with both regulatory and company standards. 

Scheduling

A user-definable table is provided for the input of all “Activities” and their respective durations.  Status information on the activity is also captured including whether the employee arrived, was a no-show or the appointment was rescheduled. Once scheduled, the medical and education modules can be directly accessed from the Scheduling module for ease of navigation. 

Three “views” are provided for the entry and review of scheduled activities.

  • The Main View is designed for use by an individual provider to show their daily activities and their “to do” list. 
  • The Master View displays up to five individual or provider schedules simultaneously.  System settings are provided to define default providers and their daily work schedules. 
  • The Employee View displays all future and past activities that have been scheduled and/or completed for the selected employee.  This view also summarizes the employee’s recall status information (see recall section).  A copy of the recall status information is also displayed in the Clinic Visits module.

Recalls

The Employee View of the scheduling module displays a listing of all recalls for the selected employee with a column showing the current status for all activities relating to their surveillance group including those that are due now but not scheduled, due now and scheduled or overdue.

The recalls are set up through the base tables where recall groups (i.e. surveillance groups, HEGs, or occupational exposure groups, OEGs) are defined (Medgate includes all OSHA programs). Health surveillance programs can be defined based on the employee’s age, sex, job, work location, potential exposure etc., or any combination of these demographic fields.  The system also accommodates the addition or removal of employees on an ad hoc basis from any surveillance or education recall program. Activities are then assigned to each exposure group with time intervals for their recall. Recalls can include activities associated with any of the Medgate medical or education modules. The system automatically recalls employees for their next scheduled activity when the current activity is marked as completed.  Extensive reports are included for the generation of recall letters, “due now” reports, delinquent reports etc.  Batch recall reports can be run and e-mailed directly through the system or recalls can be handled solely through the Medgate’s automated notification system (MAEN).

Users can be selected to remain in exposure group recalls even after a termination date has been populated to handle lifetime exposure monitoring requirements i.e. Asbestos monitoring.
